Marcus Promotions is the publisher of Footlights, a performing arts magazine and program used in a wide variety of performing arts houses in Milwaukee, Madison, and Chicago. In addition to our programs, we run – a regional guide to the performing arts, host the Footlights People’s Choice Awards – an annual ceremony highlighting local talent, serve as a full-service printer and marketing resource to our performing arts clients, and print a variety of other projects for groups such as Summerfest, The Historic Third Ward Association, and ABCD (After Breast Care Diagnosis).

The Basics
An administrative assistant, vital to helping manage the day-to-day operations of Marcus Promotions. This person will work alongside the sales team, venue relations team, and accounting team to support their success through administrative duties.

The Job
Assisting Sales Manager and team in the advertising sale process including creating sales materials, preparing proposals and contracts, tracking sales in each publication, obtaining artwork, and keeping strong relationships with our clients.

Managing and updating our company Google Drive account with sales materials, publication sign-up sheets, and other important documents.

Assisting in the development and implementation of our current CRM (Salesforce) to help in day-to-day business proceedings.

Working with Accounting Manager to prepare relevant sales data for the Sales Manager and team on a monthly basis.

Organizing and distributing sample materials for the sales team and for our personal archives.

Researching and understanding local businesses to assist the sales team in developing qualified advertising leads.

Preparing weekly agendas for Sales, Web Development, and Footlights Awards meetings, as well as taking minutes at these meetings and distributing to the appropriate teammates.

Understanding the content and relevant themes of local productions to help the sales team collaborate on potential advertisers.

Serving as the front runner for keeping information fresh and pertinent through the uploading of events, theatres and venues, local dining establishments, advertising, and editorial.

Organizing and maintaining the Marcus Promotions Box Office by collecting tickets from performing arts clients, distributing them to staff for client and/or personal use, and tracking our ticket inventory.

Compiling and entering sales contracts, print jobs, and show program date in QuickBooks for billing.

Various other administrative tasks as assigned.

The Candidate
An extremely organized individual with a strong attention detail is vital to this position.

A love and appreciation for the performing arts and the local community is a must.

An outgoing, personable individual with an open and collaborative mindset.

Someone who is self-reliant and innovative who is able to work independently and in teams.

Knowledge of Microsoft Word, PowerPoint, Excel; Adobe InDesign and Acrobat; Salesforce and QuickBooks is helpful.

The Compensation
This is a part-time position, offering 30 hours per week at a rate of $11-$13/hour, based on experience.
